What are some important physical factors that will ensure a successful install/breakdown for you and your crew that you look for when you arrive to a site for install day?
Clear the event area in advance.
Before installation begins, it’s helpful to have the tent site cleared of any existing outdoor furniture, grills, fire pits, playground equipment, planters, or other personal items. This not only helps our crews work more efficiently, but also ensures your belongings remain protected throughout the installation and event process.
Truck access matters more than you might think.
The closer our trucks can be parked to the installation site, the better. Much of our equipment is large, heavy, and requires multiple crew members to transport. Convenient access helps us move equipment safely and efficiently, reducing installation time. If carts can be used between the truck and event site, that’s an added bonus.
Mark utilities before we arrive.
Having private and public underground utilities clearly marked in and around the tent location is one of the most important steps in preparing for an installation. Identifying water lines, irrigation systems, electrical service, gas lines, septic systems, and pool infrastructure helps us safely secure the structure and avoid unexpected issues during installation.

Finalize tent placement before installation begins.
Confirming the final tent location prior to our crew arriving onsite helps ensure everyone is aligned, from the client and planner to the venue and vendor teams. A clear plan allows for a smoother installation process and helps avoid last-minute adjustments that can impact timelines.

What’s the most important step to ensuring a smooth and efficient tent breakdown?
To help ensure a smooth breakdown process, we recommend that all rental items be removed from beneath the tent or structure before our crew arrives. Occasionally, we return after an event to find tables, chairs, décor, or other rentals still in place, which prevents us from immediately beginning tent removal. As a result, additional time is required to clear the space before breakdown can begin, extending both the duration of the process and our time on-site. A clear tented area allows our team to work efficiently and helps keep breakdown operations on schedule.
